Questions about the work organization, deadlines, and confidentiality of information

FAQ

What languages do Alphabet translators work with?
We offer translations from/into 70+ languages see the list on the site. If the desired option is not on this list, contact our consultant operator and describe the task. We usually deal promptly with even the most difficult and unusual tasks of our clients.

We never use machine translation. High-quality and responsible results are provided only by human professional translation. At Alphabet, the work is always performed by certified native-speaking translators with a specialization and work experience of at least 3-5 years. They live in many countries of the world, thanks to which they know the language and other local subtleties, for example, the specifics of processing documents for passing national official procedures.

We work with any readable documents issued by official bodies (state, courts, local authorities), commercial, educational, and public organizations created by the authors for publication or private use. The client shall attach the necessary materials to the application in electronic form. In most cases, we use text or graphic (for scanned documents) formats DOX, DOCX, PPTX, XLSX, JPEG, JPG, RTF, ODT, and PDF. If it is more convenient for you to use a different format, coordinate this issue with our consultant operator.

No, this option does not meet modern requirements of confidentiality and efficiency. Using electronic copies is safe and effective, so Alphabet focuses only on them. Moreover, it is easy for our clients to scan or photograph documents if necessary for quick and convenient work.

We complete the translation of a document of up to 10 pages in 24 hours. Taking into account the wishes of many customers, we often carry out urgent orders. Alphabet translators often complete tasks in the above-mentioned or even larger volume in just 2-3 hours. If an urgent translation is required, coordinate the necessary deadlines with the consultant operator.

All Alphabet employees sign an NDA when they are hired and are responsible for maintaining the confidentiality of information provided by customers. If you wish to familiarize yourself with the provisions of our NDA or consider it necessary to add new requirements, please contact the consulting operator.

Are modern standards and encryption algorithms SHA-256, RSA-2048 SSL/TLS used on the Internet when sending documents via electronic communication channels (in particular, when uploading on the website). Files are also encrypted during internal forwarding and storage for work.

Paper versions of documents (this is necessary, for example, for a notarized certified translation) are sent in an appropriate envelope, using the services of a reputable postal or courier service agreed with the client.

Customer’s credit card data is not stored or even uploaded to our servers, as settlements are conducted through a financial transaction processing partner PayPal.

When placing an order, you will fill out an electronic form, which has a separate field for suggestions and comments. In addition, you can clarify the order and agree with the Alphabet operator-consultant.

We use any modern type of communication for the convenience of customers. Uploading documents for work, and making an application with the conditions and wishes of the client are carried out using the appropriate form on the website. You can contact the consultant operator to get answers to questions and discuss the specifics of the order using e-mail, phone, and messengers by the contact details indicated on the website.

The main office is located at 221 West Harrison Street, Chicago, IL, 60607, as indicated on the Contacts page. At the same time, native-speaking translators live and work in many countries of the world. To fulfill orders, the office promptly contacts them and transmits and receives documents via secure communication channels.

After completing the application, an order status page will be generated on the website, and the customer will receive a link to it in an email. You can open this page in your browser at any time and check the progress of the order.

Requests to change or cancel an order are considered on an individual basis and are satisfied by agreement. Contact the consultant operator and describe the necessary changes. Possible solutions may be, for example, to transfer new conditions to the translator or to stop work at the current stage with a proportional refund of the funds paid by the client.

Certified and notarized translations, apostille

What is a certified translation?

This is a word-for-word translation, which is duly executed and has a certificate of translation accuracy. This option is necessary when submitting documents to official authorities such as immigration services, state and local authorities, courts, as well as universities. The certified translation is issued on the letterhead of Alphabet and has the seal of the company and the signature of the company representative on each page.

To learn more about this service, please visit the Certified translation section.

This is a certified translation, the certificate of accuracy of which is certified by a notary. The notary, as a person authorized by the state, confirms the identity and thereby qualifications of the translator with his signature and wet seal. Notarization of the translation is a prerequisite for submitting documents to pass a number of official procedures. If you are not sure which option is required in a particular case, request information from an official authority, or consult with our consultant operator.

Alphabet is ready to provide a notarized translation valid throughout the United States as part of an overall comprehensive service. For more information about notarized translation.

Yes, Alphabet provides such a service. As a rule, our clients require an apostille when submitting American documents to undergo official procedures in other countries. We recommend discussing the details of the order with the apostille for the translation with our consultant operator.

We have extensive experience in preparing packages of documents for the successful completion of official procedures. In all cases, we use the accumulated knowledge, request additional information if necessary, and coordinate specific requirements of state or judicial authorities, and universities. Confirmation of the effectiveness of this approach is that Alphabet guarantees the acceptance of translated documents, for example, at USCIS (US Citizenship and Immigration Services).

The certified translation is provided to the customer in electronic form and, if necessary in paper form. You can specify details when making an application.

In electronic form, the document is provided as a non-editable PDF file. It contains a word-for-word translation of the original document, issued on letterhead with the contact details of the translator company, it has the appropriate page numbering, necessary signatures, and seals. Copies of the original documents (submitted by the customer for work) are not included in the electronic form by default. If they need to be included in the electronic format of the resulting document, specify this when making an application.

If the client needs to receive a physical (paper) copy of the resulting documents with wet seals and signatures, we will send it in an envelope using a postal or courier service agreed with the customer.

Yes, we try to meet our customers halfway in everything; we usually manage to accelerate about twice from the standard version. At the same time, it should be borne in mind that notarization or sending a physical copy by mail implies the participation of a third party and the appropriate deadlines. We recommend discussing the option of accelerated order fulfillment with our consultant operator.

This is not directly included in the list of our services, and specific official authorities set the rules of registration. However, based on our accumulated experience, we always try to help customers avoid mistakes and prepare documents correctly. If you have any questions that you cannot figure out on your own, contact the Alphabet consultant operator.

It is carried out based on the exchange rate, which is valid at the time of registration of the application.

Standard translations

What is a standard translation?

This is an interpretative (non-literary) translation that correctly conveys the essence and details, the style of the source text. This option is used in most cases for business or personal documents, and the exception is the passage of official procedures, the rules of which explicitly prescribe the need for word-for-word certified translation. At Alphabet, standard translation is performed by native-speaking professionals who will ensure that the resulting text is fully understandable to the target audience of a certain nationality. By default, the result of a standard translation is provided in the format of an editable Microsoft Word document (docx, doc). It is also possible to provide clients with the translation in the form in which it was sent to us earlier, namely: PPTX, XLSX, RTF, ODT, or PDF. At the same time, editing, formatting, and saving the original document type are paid by the client separately.

The possibility of using another text or other format (for example, a spreadsheet) must be agreed with our consultant operator when making an application. As a rule, we meet the wishes of our customers, and translators have experience working with various formats.

Yes, such a need and a specific deadline only need to be agreed with our consultant operator. Over the years, our translators have repeatedly had to complete urgent orders in just 2 or 3 hours.
